Adding Printers to the Computer Network of Your Business

Employees enjoy the ability to print from any device within the office. And whether you have an old printer, a printer that lacks wifi, or a fancy new multifunctional printer, adding these to the computer network of your business is easy. So if you want your employees to have a greater sense of efficiency and seamlessly give you the extra mile as you try to grow your company, you too should go the extra mile and enhance the environment of your office with a printer that is connected and available within the computer network.

Most newer printers come with a web interface that easily allows you to configure these into a network. In these cases, the printer comes with a web server, and we would call these stand-alone printers. Meaning, you won't need to connect this type of printer to any computer. Instead, you would configure the printer through its web interface, and then you would configure each workstation that is part of the network to recognize the printer and list it as an alternative when a user wants to print a document.

To add a printer that comes with a web interface to the network, follow the user manual. Then, follow these steps for all of the office's workstations (Windows OS):

  • Go to Settings > Devices > Printers & Scanners
    • Right-click "Add a printer or scanner"
      • Once your printer appears in the list, right-click it and follow the prompts
      • The important part of this process is that you configure each workstation to include the printer into the list of devices available to it

If your printer does not have Wi-Fi capabilities, you could incorporate it into the network/HomeGroup if you connect it to a computer that is part of the network/HomeGroup. To do this, follow these steps:

  • Connect the printer to a computer that belongs to the network / HomeGroup
    • Configure this computer to share the printer
      • Control Panel > Network and Sharing Center > Change Advance Settings
        • Check the "Turn on file and printer sharing" and "Save changes"

Then, follow the steps below to enable this computer to share the printer to other devices/user within the network/HomeGroup:

  • Control Panel > Devices and Printers
  • Identify the printer you want to share, and right-click it
    • from the menu, click "Printer properties"
      • then select the "Sharing" tab
        • then check the "Share this printer" box, and click OK

Keep in mind that this printer must remain turned on and logged in for other workstations to identify it and print from it. Also, you will need to configure the peripheral workstations to use this printer. Follow these steps on each of the other workstations (no printer connected to these):

  • Go to Settings > Devices > Printers & Scanners
    • Right-click "Add a printer or scanner"
      • Once your printer appears in the list, right-click it and follow the prompts

Once you have all of your workstations configured to share your office printer, then be sure to ask each of your employees to print a smiley face, write a thank you note, and bring it to your desk. You have made theirs, a better world.
